Who should use Brink's Travel + Expense Business Debit Card?

If you are a business owner and your employees need to make purchases on behalf of the company, Brink's Travel + Expense cards are the perfect tools. The Brink's Travel + Expense card eliminates the need for employees to submit expense reports or physical receipts, and saves you and your accountants time & money by cutting out the often tedious process of trying to chase down receipts, issuing employee reimbursements, or dealing with expense reconciliations.

How much does it cost to use Brink's Travel + Expense?

After your 60-day free trial period, you will be charged a monthly subscription fee depending on the number of debit cards and admins on your account. No hidden fees, no surprises.

What is the sign-up process?

Signing up only takes a few minutes, and you could be approved on the same day! No credit check is required. Once your account has been approved, your first card will be printed and delivered to your business address within 7-10 business days.

In order to fund your Brinks Travel + Expense account you will need to link an external bank account. Once your external bank account is linked and verified, you can transfer funds into your Brink's Travel + Expense account. We also recommend you to set up Automatic Transfers via Brink's Travel + Expense Transfer to ensure your account will not run low on funds in the future.

How does Brink's billing work?

Billing for Brink's Travel + Expense is based off the total number of expense cards that you have at the end of your trial period. The number of expense cards determines the plan that you will be billed for, but you can change your plan at any time simply by contacting our Support Team. Once your trial completes, billing will occur on the same day of the month that you signed up for Brink's Travel + Expense. Billing occurs for the upcoming 30-day period. We will email you an invoice beforehand, as well as a confirmation email after we receive your payment. You can also always log in to your Brink's Travel + Expense account to view your billing history, as well as adjust your current plan.

Please note that in order to downgrade your plan, you may need to delete either Admins or expense cards from your account. There are also no pro-rated billing options or refunds for partial months should you chose to change your plan. What kind of businesses may qualify for Brink's Travel + Expense?

We work to qualify all verifiable businesses and owners, as is required by our banking partners and in support of the USA PATRIOT Act. We must verify that all applicants are qualified individuals, as well as a verifiable business. We may request the following documents for verification:

  1. File your proper business paperwork, with correct city/county/state for your business, as well as have the following documentation ready:
    • Sole Proprietorship or Partnership: Certificate of Assumed Name, Business License, and/or Registration of Trade Name
    • LLC: Articles of Organization or Certificate of Formation
    • Corporation: Articles of Incorporation
  2. Provide proof of residence/physical presence at your established, formal, business location. This may include your utility bill, excecuted lease, bank statement, etc.).

How can Brink's Travel + Expense cards be used?

Here are a few ways of how our cards can be used by you and your employees:

  • Business Gas or Fuel Cards – Limit to fuel-only purchases; one card per vehicle
  • Employee Expense Cards – Assign one expense card per employee, and add alerts¹ to keep track of their spending
  • Project Cards – Assign one expense card to each project or team and add more funds to the expense card if needed to easily control spending
  • General Expense Cards – Control expenses on office supplies, subscriptions, etc. Stop expense leaks and eliminate petty cash

Most businesses, on average, order 5 Brink's Travel + Expense cards to better control employee spending. More Brink's Travel + Expense cards = more control over spending.

Where can Brink's Travel + Expense business debit cards be used?

You can use your Brink's Travel + Expense cards online or at any worldwide location where Mastercard is accepted. You can select either "debit" or "credit" when making an in-store purchase.

Can the Brink's Travel + Expense business debit card be used as a fuel card?

Absolutely! In fact, designating a single utility card as your fuel card is a great use of the Brink's Travel + Expense card. Your expense card can be used at any gas station - not just 'in-network' gas stations. You can even set up daily, weekly, or monthly limits to be spent exclusively on gas. However, since gas stations tend to place a 'pre-authorization' hold of up to $100 the first time you swipe your expense card (this applies to all credit or debit card transactions and is not unique to Brink's), we recommend to have at least $200 accessible for each designated fuel card.

What is the difference between an Employee Card and a Utility Card?

Employee debit cards are intended for specific individual business expenses, and the business owner will fill out details about the intended cardholder when ordering a new expense card. You can proactively configure spend controls for each card, giving yourself peace of mind and an easy way to track business spend. Employee cardholders with an email address will also have access to the Brink's Travel + Expense Tracking Mobile App.

Utility cards were designed to be used for a special need or a specific category or group of transactions, making it easy to later organize and reconcile expenses. You do not need to associate a cardholder with a utility card. For example, you can create a utility card called "Gas Card," which someone from your business can use to fill up at the gas pump. Transactions made on the "Gas Card" will automatically be organized on your Dashboard.

What does an account Admin do?

You can add Admins to your Brink's Travel + Expense account, and they do not need to be issued a card. Admins are granted the ability to create their own login to view and manage your Brink's Travel + Expense account. This option is fitting for someone that helps you manage your business operations and expenses, like an accountant or bookkeeper. Please note that an Admin has the same ability as the primary account holder to deposit funds, order expense cards, and make changes to the Brink's Travel + Expense account to help manage your business expenses and account.

Is Brink's Travel + Expense safe?

Yes. Brink's Travel + Expense uses 256-bit Secure Socket Layer (SSL) encryption to ensure personal information is protected, and all data is stored in highly secure data centers that utilize state-of-the art electronic surveillance and multi-factor access control systems. Funds held within Brink's Travel + Expense are FDIC insured up to $250,000 per account owner through The Bancorp Bank, Member FDIC.
